This policy explains how the Drayrates browser extension ("the extension") collects, uses, and shares information. It covers the extension only. For the Drayrates web platform, see our Privacy Policy.
1. What the extension is
The Drayrates extension is a thin client for freight brokers: it helps you look up drayage rates and build and send quotes. Business logic runs on our backend (api.drayrates.ai); the extension handles sign-in, reading freight text you ask it to, and displaying rates and quotes.
2. Information the extension handles
2.1 Account and session
- After you sign in through the Drayrates web app, your Firebase authentication token is stored locally in your browser (
chrome.storage.local) and sent as a bearer token only toapi.drayrates.ai. It is not shared with any other party.
2.2 Stored locally
- Your extension preferences (theme, text size, which sites the quick-access button is enabled on) and the list of sites where you've accepted the pre-scan notice. Nothing you scan is stored on your device.
2.3 Page text you choose to scan
- When you click the Scan button in the side panel, the extension reads the visible text of the current page (
document.body.innerText) and sends it toapi.drayrates.ai, which forwards it to OpenAI to identify freight lanes. On an email page, that visible text includes the visible content of the email itself. This happens only on your click, never automatically on page load, and only after you grant the extension access to that site. Before the first scan on a site, the extension shows a notice describing what will be read and sent. The scanned text itself is processed transiently and not stored — only the freight lanes identified in it are kept (see 2.6). - Separately, the right-click "Parse lane with Drayrates" menu sends only the text you have highlighted — never the whole page.
2.4 Email thread metadata (Gmail only)
- When you scan a thread in Gmail, the extension also reads that thread's metadata (message id, subject, and the counterparty sender's name/email) so a quote can be delivered as a reply in the same thread. This structured reading applies to Gmail only; on other sites (including Outlook) the extension reads only the visible page text described above.
2.5 Quote delivery (optional)
- If you connect a mailbox and choose to send a quote, the extension asks our backend to deliver it. Our backend uses Unipile to send the quote (and capture its direct reply) from your own connected mailbox. The extension itself never contacts Unipile or your mailbox directly.
2.6 Saved to your Drayrates account
- The extension is a companion client to the Drayrates web platform. Searches and quotes you create in the extension are saved to your Drayrates account on our servers — the same account data you see in the Drayrates web app. A saved search includes the parsed lanes, the source page's title and URL, and, for Gmail scans, the thread metadata described in 2.4. A quote includes the customer name and email address you choose for it. This account data stays available across your devices and to your organization in the Drayrates platform, subject to your organization's settings.
2.7 Extension data is not used for market insights
Data collected through the extension — including visible page text, email content, Gmail thread metadata, sender names and email addresses, source-page URLs and titles, highlighted text, customer contact information, individual quote contents, and any other content collected through Chrome extension permissions — is not used to develop market-rate datasets, benchmarking products, advertising profiles, or products for other customers. We may use anonymized and aggregated technical information, such as feature usage, performance data, and error rates, solely for security, reliability, service improvement, and internal operation of the extension.
2.8 Organization accounts
If your account is associated with an organization, authorized administrators and users within that organization may access, manage, export, or delete account information, searches, and quotes according to the organization's permissions and settings. Your organization controls its business account and may have its own policies governing your use of the service.
3. Who we share it with
- OpenAI — receives the page text you choose to scan solely to identify freight lanes. OpenAI does not use data submitted through its API to train its models. OpenAI may retain limited abuse-monitoring logs for up to 30 days unless a different data-retention control applies to our account or longer retention is legally required.
- Unipile — our email-delivery processor, used by our backend to send quotes and capture direct replies from your connected mailbox, only when you choose to send a quote.
- Google Cloud / Firebase — hosts our backend and provides authentication and storage for your Drayrates account data, including saved searches and quotes described in Section 2.6.
We use this data only to provide the extension's rate-lookup and quoting features.
4. What we do not do
- We do not sell your data.
- We do not use it for advertising or personalized ads, and the extension sets no advertising or tracking cookies.
- We do not use it to determine creditworthiness or for lending.
No person at Drayrates reads your individual scanned page content, email content, highlighted text, or quote threads except:
- With your explicit authorization, such as when necessary to resolve a support request
- When reasonably necessary to investigate security incidents, fraud, abuse, or technical failures
- When required by applicable law
- In connection with automated processing necessary to provide the extension's features
Anonymized and aggregated technical analytics may be used for internal operations, but they do not include human review of individual page content, email content, or quote threads.
5. Limited Use
The extension's collection and use of information adhere to the Chrome Web Store User Data Policy, including its Limited Use requirements. Specifically: we use the data only to provide or improve the user-facing rate-and-quote features; we transfer it to our service providers only as necessary to provide those features, to comply with law, or as part of a merger, acquisition, or sale of assets, only after obtaining your explicit prior consent; we do not sell it; we do not use it for advertising or to determine creditworthiness or for lending; we do not use it to build products or market-rate datasets for other customers; and we do not allow humans to read your content except in the narrow circumstances disclosed above.
6. Data retention and your choices
Signing out clears your session from the browser. Extension preferences and the scan-notice acknowledgements remain until you remove the extension.
Scanned page text, email content, and highlighted text are processed transiently to identify freight lanes and are not retained as raw content by Drayrates.
Searches, parsed lanes, source-page information, Gmail thread metadata, and quotes saved to your Drayrates account remain available until they are deleted by you, an authorized organization administrator, or Drayrates in accordance with the account's settings and our retention practices.
When an account is closed, associated account data is generally deleted or de-identified within 90 days, except where longer retention is reasonably necessary for billing, fraud prevention, security, dispute resolution, enforcement of agreements, or legal compliance. Data may remain in encrypted backups until those backups are overwritten through our ordinary backup cycle.
Anonymized information that can no longer reasonably identify an individual, customer, email, or organization may be retained indefinitely.

7. Children's privacy
The extension is a business tool and is not intended for anyone under 13.
8. Changes
We may update this policy as the extension changes and will revise the "Last Updated" date above.
